This policy explains what information the SIGNOFF mobile app and website collect, why, and what you can do about it. SIGNOFF is used by subcontractors, main contractors and their site teams to keep a daily site log, record variations and create reports.
Who we are
SIGNOFF Ltd is a company registered in Northern Ireland (company number NI738213), based in Belfast. Contact us at contact@sign-off.uk. Registered office: Office 1656, 92 Castle Street, Belfast, BT1 1HE, Northern Ireland.
Our role
When a business uses SIGNOFF, the daily site logs, photos, videos and reports belong to that business (the company named when the account was set up). They decide who can see them and how long they are kept. For that information we act as their processor and follow their instructions. For your account details and for running the service securely, we act as a controller.
What we collect

We don't use your information for advertising, we don't sell it, and the app contains no ads. Our website uses no advertising or analytics cookies. See our Cookie policy for details.
Legal basis
We process account and technical information to provide the service under our contract with your employer or client, and for our legitimate interests in running a secure, reliable service. Location is only used with your permission, which you can turn off in your phone settings at any time. Pilot form details are processed with your agreement, which you can withdraw by emailing us.
Who we share it with
- Your company and the people it adds to its projects.
- A main contractor or client, only when your company chooses to send them a report.
- Service providers who help us run SIGNOFF and this website: cloud hosting and storage, email delivery, weather data, address lookup and app distribution. They may only use your information to provide their service to us, under contracts that require them to keep it secure. The weather service only receives approximate coordinates, never your name or account. We can give you a list of our service providers on request.
- Authorities, if the law requires it.
Where it is stored
Daily logs, photos, videos and accounts are stored on secure cloud servers in the UK. Some of our providers are based outside the UK; where your information leaves the UK we rely on safeguards approved under UK data protection law, such as the UK–US data bridge or the UK International Data Transfer Addendum.
On your phone, daily logs, photos and videos are kept in the app's private storage until they have been sent, and your sign-in is stored securely on the phone. Signing out removes them from the phone.
How long we keep it
Account details are kept while your account is active and deleted within 30 days of account deletion. Site records are kept for as long as your company's subscription requires and deleted within 90 days after it ends, unless your company asks us to return or keep them for a legal reason. Backups are overwritten within 30 days.
Your rights
You can ask to access, correct or delete your information, object to or restrict how we use it, or ask for a copy in a portable format. You can delete your account in the app (Profile → Delete account) or by visiting sign-off.uk/delete-account. Where a request concerns your company's site records, we will pass it to your company.
If you are unhappy with how we handle your information, please contact us first. You can also complain to the Information Commissioner's Office at ico.org.uk.
Security
Information is encrypted in transit and at rest. Access is restricted so people only see the projects they work on. Signed daily logs are locked, so any later change can be detected. Photos, videos and reports are kept in private storage and can only be opened through secure links that expire.
Children
SIGNOFF is a business tool for adults and is not intended for anyone under 18.
Changes
We will update this page if anything changes and show the date at the top. We will tell the companies using SIGNOFF about significant changes.
